Bookings & Calendar

Use and Subscribe to Your Calendar

Review scheduled work and add your Vignette calendar to another calendar app.

Calendar shows scheduled bookings in one place and can provide a private subscription link for another calendar app.

Review scheduled work

Open Calendar and choose the available calendar view. Move between date ranges to review upcoming sessions.

Select a booking on the calendar to open its details. Draft bookings without a scheduled time will not appear until a date and time are added.

Plan a week around available light

Select 7 days for a timed weekly schedule. The shaded bands show morning and evening golden hour, and the darker lines mark sunrise and sunset.

When your studio address can be located, the light times use Studio location. Otherwise the legend identifies the default location being used. Treat these times as planning guidance and check the shoot’s actual location and conditions.

Reschedule from the calendar

Drag a booking to another day in Month view or to another date and time in the 7-day view. After moving it, open the booking and confirm the date, start time, and duration.

Continue using the booking editor when you also need to change its location, package, price, client information, or connected workflow.

Subscribe from another calendar

  1. Open Calendar.
  2. Select Sync calendar.
  3. If calendar sync is not active, select Create subscription link.
  4. Choose your calendar provider and complete the subscription steps below.
  5. Add the URL as a subscribed calendar, not as a one-time imported file.

Google Calendar

Use a desktop web browser to add the subscription. Google does not provide the From URL setup flow in its iPhone, iPad, or Android apps.

  1. Select Google Calendar in Vignette.
  2. Confirm the subscription in the Google Calendar page that opens.
  3. If the calendar is not added automatically, copy the private URL from Manage private subscription.
  4. In Google Calendar on desktop, select Other calendars → + → From URL, paste the URL, and select Add calendar.

After it is added to your Google account, Vignette appears under Other calendars and can also appear in the Google Calendar mobile app.

Apple Calendar

Select Apple Calendar in Vignette to copy the private subscription URL. Opening an .ics address directly may import a one-time copy, so paste the URL into Apple Calendar's subscription flow instead:

On Mac:

  1. Open Apple Calendar and choose File → New Calendar Subscription.

  2. Paste the private URL copied from Vignette into Calendar URL, then select Subscribe.

  3. Name the calendar Vignette. Choose iCloud from Location if the calendar should stay available across your Apple devices, choose an Auto-refresh interval, then select OK.

  4. Confirm that Vignette appears in the Calendar sidebar and is selected.

On iPhone or iPad, choose Calendars → Add Calendar → Add Subscription Calendar, paste the URL, and continue. Choose iCloud when prompted if the calendar should stay available across your Apple devices.

Outlook or another calendar app

Copy the URL from Manage private subscription and use the app's subscription-by-URL or Internet calendar option. Do not download and import the .ics file as a static calendar.

A subscription lets the other calendar check for future updates. The exact refresh timing is controlled by Google Calendar, Apple Calendar, Outlook, or the calendar app you use.

Manage the private subscription

Open Calendar → Sync calendar, then expand Manage private subscription. Use these controls when you need to connect another calendar manually, replace an exposed link, or stop sharing the calendar feed.

  • Copy URL copies the current .ics feed address. Use it with a calendar app's subscription-by-URL or Internet calendar option.
  • Regenerate link replaces the current URL and invalidates the previous one. Use it if the link was posted publicly, added to a shared document, or sent to someone who should no longer have access. Calendars using the old URL will stop receiving updates, so replace their subscriptions with the new URL.
  • Turn off sync disables the private feed when you no longer want Vignette bookings available in external calendar apps. Those apps will stop receiving updates, although events they already downloaded may remain until you remove the subscribed calendar. Create a new subscription link before setting up calendar sync again.

Treat the subscription URL like a password: anyone with the complete link may be able to view the booking schedule in the feed. Do not regenerate it simply because an update is delayed; calendar providers control their own refresh timing.

If an update is delayed

First confirm that the change appears in Vignette. If it does, allow time for the other calendar provider to refresh its subscription.

Removing and re-adding the calendar is usually unnecessary and may create duplicate calendars. Check your calendar app’s refresh settings before replacing the subscription.

If the calendar stops updating entirely, confirm that the URL shown in the calendar app matches the current URL under Manage private subscription. Regenerating the link or turning calendar sync off invalidates the previous URL.

Good to know: A subscribed calendar is intended for viewing Vignette booking times. Continue editing the booking inside Vignette so connected clients, contracts, and payments stay accurate.
