Understand Booking Statuses

Learn what Draft, Awaiting confirmation, Awaiting payment, Payments up to date, and Pending mean on your bookings.

Every booking card in the Bookings list has a colored label. The label tells you the next thing that needs to happen, so you can see at a glance which clients still have steps to finish.

Find the labels

  1. Open Bookings.
  2. Choose Upcoming for sessions that haven’t happened yet, or Past for older ones.
  3. Look at the colored label on each booking card.

What each label means

  • Draft (orange) — You haven’t sent the booking to the client yet. Only you can see it.
  • Awaiting confirmation — You sent the booking. The client hasn’t confirmed the session details yet.
  • Awaiting payment — The client confirmed and signed. A payment is now due.
  • Payments up to date (green) — Nothing is overdue. The card still shows the remaining balance that is due later.
  • Awaiting signups — A published mini-session event that has no booked time slots yet.

After you select Send to client, a booking changes from Draft to Awaiting confirmation.

When the client is caught up on payments, the label turns green. Notice that the amount still due is shown under the label.

A mini-session event shows Awaiting signups until clients start reserving slots.

How labels relate to Pending, Confirmed, and Canceled

Behind each label, a full-session booking also has one formal status:

  • Pending — The booking was created, and some required client steps are not finished.
  • Confirmed — The required confirmation, contract, and payment steps are done.
  • Canceled — The booking will not move forward.

The list label is the friendly “what’s next” view. For example, a booking that says Draft, Awaiting confirmation, or Awaiting payment is still Pending. Once the client finishes every required step, the booking becomes Confirmed.

There is no separate Completed status. Use the session date and the booking’s Activity history to follow work after the shoot.

Where you see the formal status

Global search shows the formal status. A booking still waiting on client steps appears as Pending in search results.

If a booking seems stuck

  • Draft for a long time: open the booking and select Send to client. If something required is missing, Vignette opens the booking editor so you can fix it.
  • Awaiting confirmation: the client may not have found the email. Select Resend to client.
  • Awaiting payment: open the Payment card to send a reminder or record a payment you received another way.
