A billing contact can help a client handle the money side of a full session. They get their own private link. Your client keeps their normal booking link and emails.
Add the billing contact
- Open Bookings.
- Choose the full session you want to update.
- Select Edit booking.
- Enter the person's email in Billing contact email (optional).
- Select Save changes.
Select the ? beside the field if you want a quick list of what this person can see and do.
The email must be different from your client's email. The billing contact belongs only to this booking. Vignette does not add them to People.
Know when the invitation is sent
If the booking is still a draft, Save changes stores the email but sends nothing. The billing contact is invited when you first send the booking to your client.
If the booking was sent before you added the billing contact, saving the new email sends their invitation right away.
Check the address first: A billing contact can sign the contract for your client and make payments for this booking.
Check the invitation status
Open the booking and select Billing contact under the client's name. You will see one of these statuses:
- Not invited means no working invitation has been sent yet.
- Invited means Vignette sent the private link.
- Accepted means the billing contact opened the invitation.
On a draft, Send invitation stays off until you send the booking to the client.
After the booking is sent, the status changes to Invited. If the person cannot find the email, open Billing contact and choose Resend invitation.
If the first invitation could not be sent, the booking stays active. Open Billing contact, then choose Send invitation when it is available.
Accepted only means the person opened their private link. It does not mean they signed the contract or paid an invoice. Those steps have their own status on the booking.
Change or remove the billing contact
- Open the Billing contact menu.
- Select Edit billing contact.
- Change the email, or clear the field to remove the contact.
- Select Save changes.
Vignette asks you to confirm before it removes an invited billing contact. The old private link stops working after you replace or remove the contact. Canceling the booking also ends their access.
What the billing contact can do
The billing contact can:
- Review the booking details.
- Sign the contract for the client.
- View invoices and make payments.
- Get billing reminders, receipts, refund notices, and contract copies.
They cannot see your private notes, questionnaires, timelines, galleries, conversations, or account settings.
What Vignette does behind the scenes
Vignette gives the billing contact a separate private link. That link opens only the parts of this booking they need. It does not give them access to your studio or the rest of your client's work.
The first successful visit changes the invitation status from Invited to Accepted. Resending the invitation sends another email without changing the booking or the client’s link.
When you replace or remove the billing contact, Vignette turns off the old link. Your client's normal link and emails keep working.
